Project Management with the prince2 method

Project management is well known to be where the rubber meets the road to the development of the performance of teams, departments, programmes and projects.  It is for this reason that people from a range of fields and professions utilise project management.  Projects are reliant on the intelligent application of resources to deliver a product or service in a specified time and cost.  A successful project is one that achieves the goals and outcomes defined and it is these outcomes that Guide the activities and functions of the project. To manage a project successfully there are four key components: Objective, Scope, Time and Cost.  There are additional areas which define project success, but these will be covered in part two.

Objectiveappealed to the stakeholders and indeed the project sponsors and states what the project is going to achieve.  Typically it will define what the outcomes will be, why it is needed and how it will be achieved, but any good project will also define what scope the project controls, covers and that is left to the project or the Project Sponsor to oversee.  When units of time can be applied, it is worth ensuring they are understood and include a deadline or target date for attainment.  There may be assumptions in the objective, and it is important to describe them, as well as explaining to the sponsors and client what can reasonably be regarded as assurance of success.

Value Functions describe the services to be provided and outline what those services stand for.  The key phrase here is ‘satisfy the client’s needs’.  This can be a pretty complicated and overlapping sector, but if one aspect of any service fails to satisfy one part of the client’s requirements, the project is in trouble.  It is often worthwhile drawing up a separation of objectives so the value of the broader service is better understood, such as: the best possible solution to meet the needs of the Client and to provide the apparent value to the Client’s business.

Stakeholder analysis takes a long time to complete, and in fact is a separate activity.  Some stakeholders are more important than others and will require more time and effort to reach a consensus on.  If you have a Free Select – this actually assists with the process by allowing you to reach a consensus and identify the most important stakeholders regardless of how long it takes, which inevitably simplifies the process.

Taking risks can be rewarding, providing the rewards are worth the risks that you are taking are well thought out.  It is the individual or the organisation that is responsible for successfully understanding where this ‘risk-taking’ is taking place, and deciding how to maximise the associated rewards.  This will in turn maximise the chance of the project or project risks being successfully realised. The 7 Habits of Highly Effective PRINCE2 Managers

When I began accounting in ISO 9000 certification I was a member of the IRS and it was a requirement that I send in a photocopy of my IRS W-9, in order to qualify for certification, followed by a 2 x 5 index card with my business Tax ID number on it for the IRS to verify that it was accurate. Since I have not yet earned my Certified Public Accountant (CPA) certification, I was required to complete the Graduate Certified Professional Resume, just to prove that I had some experience different from the CRP required by the IRS.  I did have that, however I never submitted my resume and a whole lot of my schooling is in the pipe work of accounting.

I only studied sales and marketing (excel and san league automation) and not project management.  Until I read that book “Project Management” by Steven R. Covey, I believed that only large corporations would need to manage a project.  Now knowing how much I have yet to make about $100,000 with time and expense savings, in addition to adding it to my resume, I think I might start reading some books on project management.

The biggest change started a year ago when I decided to start making money from my wonderful website by using snippets of articles from other writers.  This includes the must-read “The 7 Habits of Highly Effective People” by Stephen R. Covey.  Since this is project management “how to’s” I like them (and the ideas of Covey) a lot.  If you too want to start an online business then do some research on the subject and see if you can find a good course out there.  If you are already in business I highly recommend that you read “The 7 Habits of Highly Effective People” as some of the subjects are the same.

I only started recently picking up the terminology for project management, as I am not a project management player when it comes to working with individuals.  All my projects from scratch or with other people fall into the project category instead of individual employee project.  For me to no longer be stretched for time, I feel Relief to be able to drop a project into the “career category.”  The money in doing so, as anyone can tell you, is even more attractive; pay up front, work till the end of the project or it’s over, good luck with that!…

Project management

A project is a temporary endeavour having a specific start and finish and it produces a unique product or service.  A project is an individual process with fixed objectives set by the sponsor of an ongoing activity.  Project supports the life cycle of products and services of any company. A project can be self created or guided by established processes and procedures provided they are developed and assisted by qualified project management.

The key steps and functions as a project manager are:

*   The project initiation phase such as opening and closing the team dynamics.

*   Communication, education, and effective handling of requests, such as meetings and communication.   Establishing and maintaining effective rapport with team members and the discretion of the team to carry out the work.

*   Planning and scheduling the work.

*   Setup up project management tools to meet the specific needs of the team. Make sure these tools are maintained in order to maintain control, efficiency and sustainability of the project.

*   Planning and managing the research process. Demonstrating  the products viability and quality and achieving sufficient scope / dimension.

*   Meeting team members to stand on the shoulders of our sponsor.  This is especially essential for the project team as this often takes a lot of time and energy.  Team members know the familiarity of working with sponsor and are motivated, involved and unequal to criticism.

*   Valuable input to the sponsor on the team members and structure of the team.  Coordinating the task to assigned team members, building communication, and factoring in contributions, etc.

*   Assessing the results and getting the things in place to define the work.

*   Keeping the project objective in front of the team while guiding them towards and away from the projects business.

*   Managing the details often involved with a project, “keeping it in front of the business and selling it to the project.  Get things done in a timely and efficient manner.

*   Empowering team members with knowledge, skills, and confidence.  Motivation, trust, risk, accountability, management buy in and requirements for their individual efforts.

*   Measuring and controlling business results

*   Measuring and controlling the project activities involved during the creation of the deliverables and closure of the project activities.

*   Establishing a partnership with sponsors and stakeholders

In relation to that, the first key is education for all members of the team.  Experience is fundamental for a project because of the “ctic” paced, dynamic environment in which things happen.  HR, sponsors and stakeholders all have the expectation of their team members’ knowing more than one process or one detail of the job.  Individually they are bound by their own understanding of the basis, meaning, and content of the fundamentals of their role.

Finishing the task allows for assigning other tasks to be done or a second review of the plan.
